What we collect, why we collect it, how long we keep it, and how to have it removed.

1. Who we are
Copperline Auto Climate ("Copperline", "we", "us") is a sole proprietorship owned by Mabel Garcia, operating a vehicle climate-control repair facility at 3005 Tennessee Avenue, Troy, Michigan 48084, United States. We are the party responsible for the information described in this policy. This policy explains what we collect through the website at auto.intercoolventilation.com and in the course of servicing your vehicle, why we collect it, and what control you have over it.
2. Information we collect
Information you give us
- Contact details — name, phone number, email address and, for invoicing, a billing address.
- Vehicle details — year, make, model, VIN, mileage, license plate and the symptom you describe.
- Service history — estimates, invoices, photographs of components, technician notes and warranty records.
- Correspondence — emails, voicemails and text messages you send to the shop.
Information collected automatically
- Server logs — IP address, user agent, referring page, requested file and timestamp, kept by our hosting provider for security and troubleshooting.
- Optional analytics — aggregate page views and traffic sources, only if you accept analytics cookies. See the Cookie Policy.
We do not knowingly collect information from children under 13, and this site is not directed at children. We do not collect Social Security numbers, and we do not store payment card numbers — card transactions are processed on a terminal at the counter by our payment processor, which retains the card data, not us.
3. How we use information
- To answer your enquiry and schedule an appointment.
- To prepare estimates, perform repairs and issue invoices.
- To honor warranty claims, which requires keeping a repair history.
- To comply with Michigan motor-vehicle repair recordkeeping rules and federal EPA refrigerant records.
- To send service reminders, only where you have asked for them.
- To understand, in aggregate, which pages help people find the shop.
We do not use your information for automated decision-making or profiling.
4. Why we are allowed to use it
We rely on: performance of the service contract between you and the shop; our legitimate interest in operating and securing a small business; compliance with legal obligations, including state repair-record and federal refrigerant-handling rules; and your consent, where consent is what we asked for (analytics cookies, service reminders). Consent can be withdrawn at any time without affecting work already performed.
5. When we share information
We do not sell personal information, and we have not sold or shared personal information for cross-context behavioral advertising in the preceding twelve months. We disclose information only to:
- Parts suppliers — vehicle identification needed to source the correct component.
- Payment processor — handles card transactions at the counter.
- Web hosting and email providers — who store the site and our mail on our behalf.
- Analytics providers — only with your consent, and only in aggregate.
- Insurers, warranty administrators or fleet employers — where you have asked us to bill them.
- Authorities — where a subpoena, court order or law requires it.
6. How long we keep it
- Repair orders, estimates and invoices: 7 years (Michigan recordkeeping and tax).
- Refrigerant service records: 3 years (EPA Section 609).
- Web enquiries that do not become jobs: 12 months.
- Server access logs: 90 days.
- Analytics data: 14 months in aggregate form.
7. Your rights
Wherever you live, you may ask us to confirm what we hold about you, provide a copy, correct an error, or delete records we are not legally required to keep. Michigan residents, and residents of states with comprehensive privacy laws (including California, Colorado, Connecticut, Virginia, Texas and Utah), additionally have the rights to know, delete, correct, obtain a portable copy, and opt out of sale or targeted advertising — the latter being moot here, since we do neither.
To exercise any right, email services@auto.intercoolventilation.com with "Privacy request" in the subject line, or call 248-273-0823. We verify identity by matching the request to the phone number, email or vehicle on file, and respond within 45 days. There is no charge, and we will not treat you differently for asking. If you are dissatisfied with our response you may complain to your state attorney general.
8. Security
The website is served over HTTPS. Repair records are held in an access-controlled shop management system with individual technician logins; paper copies are kept in a locked cabinet at the counter and shredded at the end of their retention period. Only Mabel Garcia and the service coordinator have administrative access. No system is perfect, and we will notify affected customers and the appropriate authorities without undue delay if a breach affecting personal information occurs.
9. Third-party links
Pages may link to third-party sites, such as a manufacturer bulletin or a mapping service. Those sites have their own policies and we are not responsible for their practices.
10. Changes to this policy
We update this page when our practices change and revise the "last updated" date above. Material changes will also be posted at the shop counter for 30 days.
